Linear Ventures
Version 2.0 · Effective: 26 October 2026
This policy covers the Linear Ventures Business Operating Suite (“BOS”, the “Platform”). It explains how long BOS keeps each class of record, what happens when a subscription ends, and how a tenant can require permanent erasure.
“Financial year” means the Indian financial year, 1 April to 31 March. The statutory minimum runs from the end of the financial year in which each record was created. We implement it with a single, conservative cutoff: 8 years from the end of the financial year in which the subscription terminates. For every retained financial record dated on or before termination, that cutoff is later than or equal to the record’s own 8-year minimum, and may keep an older record longer. Tenant access ends at termination, so we do not create later tenant financial records. Example: a workspace that terminates on 26 October 2026 is retained until 31 March 2035.
| Record | While subscribed | After termination | Basis |
|---|---|---|---|
Statutory financial records Sales and purchase invoices, credit/debit notes, vouchers, ledgers, trial balance, GST/VAT returns and filings, TDS challans, fixed assets and depreciation, bank reconciliation, opening balances and stock records. | For the life of the subscription | 8 years from the end of the termination financial year (for records dated on or before termination, never earlier than 8 years from the record’s own financial year) | Companies Act 2013 s.128 (8 financial years); CGST Act 2017 s.36 (72 months); UAE VAT record-keeping rules |
Contractual and operating records Masters, vertical operating records (salon, textile, diamond, real estate), storefront orders, settlements and the audit trail that evidences the books (including the email of the user who performed each action). | For the life of the subscription | Retained with the financial records to the same cutoff (8 years from the end of the termination financial year) | Legal retention and audit defence |
Marketing, messaging and assistance data WhatsApp conversations and campaign contacts, marketing campaigns and content drafts, influencers, reviews, AI usage/corrections, bug reports, demo access and deletion requests. | For the life of the subscription | Deleted at the end of the 90-day recovery window | DPDP Act 2023 purpose limitation; no statutory retention duty |
Account identities Tenant users and invitations. | For the life of the subscription | Access is closed at termination; rows are deleted at the end of the 90-day window | No purpose survives termination |
Integration credentials and connections SMTP password, payment-gateway secrets, Meta/WhatsApp/Telegram tokens, storefront API keys, webhook secrets and the connection identifiers used to route those services (including the WhatsApp phone-number ID). | For the life of the subscription | Deleted at the end of the 90-day recovery window (and immediately on erasure); never retained with the financial books | No purpose survives termination; a live third-party credential or routing identifier is a security and data-recreation risk, not a financial record |
Restore points (R2) Daily, pre-operation and on-demand tenant snapshots. | Daily 30 days · pre-operation 7 days · on-demand until deleted by the owner | Purged at the end of the 90-day window (and immediately on erasure) | Recovery only; a full copy must not outlive the data it copies |
Invoice branding and payment QR (R2) Company logo and payment QR code used on invoices. | For the life of the subscription | Retained with the financial records so a re-issued invoice keeps its legal appearance; deleted at erasure or at the end of the 8-year window | Integrity of a retained tax invoice |
Whole-database backups Two BOS dumps per day to object storage, plus the database platform’s point-in-time recovery window. | Rolling 14-day backup retention | Age out on the same rolling schedule; a single tenant cannot be selectively restored or selectively purged from a whole-database backup | Disaster recovery only |
Offboarding receipt Company id and name, termination and deletion dates, table/row counts, export receipt, legal-acceptance evidence and the operator who ran the procedure. No business data. | Created at offboarding | At least 8 years (operator evidence; contains no business data) | Proof that the contract was performed and the deletion was authorised |
When a subscription ends, the workspace is closed: users lose access, but the data is kept for 90 days. During that window the Subscriber may reactivate the workspace or ask for a complete export.
At the end of the 90 days we run the retention split:
This is the default path. Doing nothing after termination does not erase the books early; it moves the workspace into financial-only retention. The split is a controlled operator procedure measured from the termination date we record, not an automatic job that could delete data without review.
A Subscriber may ask us to erase the workspace completely instead of retaining its books. Erasure overrides the retention schedule, including the 8-year financial period, and is available under the DPDP Act 2023 and, for UAE Controllers, UAE Federal Decree-Law No. 45 of 2021.
Because the Subscriber is the seller/taxpayer of record, the Subscriber is responsible for keeping the exported invoice and tax records for its own statutory period. Erasure removes BOS’s copy; it does not shorten the Subscriber’s own obligation.
At onboarding we record, server-side, the date and time the Terms of Service, Privacy Policy and Data Processing Agreement were accepted, the version of each document the user saw, and the accepting email address. That evidence lives in the company record and is copied into the offboarding receipt before deletion. A dedicated append-only acceptance ledger is a planned improvement; until it ships, the JSONB record plus the archived receipt is the evidence trail.
BOS stores data on Neon (PostgreSQL) and Cloudflare R2, and runs on Vercel. The current sub-processor list, roles and transfer safeguards are in the Data Processing Agreement §5–§6. Deleting a workspace deletes its rows from the live database and its objects from the BOS R2 bucket; the provider’s own backup/PITR retention is the bounded residual copy described above.
To request an export, erasure, correction or a copy of your data, email support@linearventures.in with the subject line “Data Request” and the company id. We acknowledge within 3 business days and respond within 30 days. The step-by-step deletion page is at /data-deletion.
If you are a customer of a BOS tenant (not the tenant itself), please contact that company first: it is the Controller of your data. We will assist it in responding.
We publish a new version date whenever this policy changes materially. The version accepted at onboarding is recorded against the company, so a later change does not rewrite what a tenant agreed to. Material changes are notified to the registered owner by email at least 14 days before they take effect.
